Naming Conventions for Events - Visits, Meetings, and To-Do's

Every CRM has different words for what we'd refer to as an event. At Copilot we have three types of events: Visit, Meeting, and To-Do. These are meant to be as flexible as possible for you to use.

You can define these types of Events however works best for your business. For example, a Visit could be considered a job or site visit. But it could also mean an in-person estimate visit or even drive-by estimate. 

Meeting could also mean an in-person estimate, or employee interview, property visit, for example.

To-Do could be a task such as create an estimate or equipment maintenance.


You can also create categories for To-Do's and Meetings. The categories will allow you to be more specific in the categories of to-do's or meetings.

Click the gear icon in the top right corner. 

Next, use the right arrow at the top to scroll over to the List Items Visibility and click this. 

Under the To-Do or Meeting Categories, you can click the + Add New button.

Type in any custom category, then press Add Type. This will now include that category as one of your options.


To create any one of these events types, on any page in Copilot, you can click the blue + New button in the top right corner. 

Then, select whichever of the three you wish to create. 

Fill out all the required or desired information. To add that custom category to the event, select the category drop-down. As you scroll further down the page you can attach a customer, property, employees, and even photos to that event.


If this is a Recurring Series, click the Type drop down and change it to a Recurring Series. This will allow you to select how often the event should be, if it should be paused during the off-season, select how many events, or the last date you want that event to occur.


When you have input all desired information, scroll to the bottom and press the Create button.

This event will now appear in the Schedule and/or Dispatch Board if it is associated with a property visit.


As you can see, these event types can be as customizable as you wish and in whichever way works best for your business!
